Ingaged Creative Productions Inc. is an Indigenous-owned event services and creative production company based in Thunder Bay, Ontario, with offices at 610 Simpson Street and on Fort William First Nation. We produce a wide range of events across multiple sectors, including corporate events, tradeshows, multi-day regional conferences, and large-scale Indigenous community gatherings and cultural events. Indigenous community work forms a significant portion of our portfolio.

About the Role

The Event Communications Coordinator is responsible for how Ingaged speaks to its participants, presenters, partners, and the wider community before, during, and after every event. The role sits at the intersection of writing, brand, and communications judgment, and serves two related but distinct needs.

First, it owns the participant-facing communications, content, and editorial work that makes events feel cared-for and well-run. Second, it brings the same skill set to bear on Ingaged's broader marketing and organizational communications, helping the company grow and communicate consistently as it evolves.

 

This is a generalist communications role with room to specialize over time. As the team grows and the communications function matures, the role offers paths into event-side leadership or marketing-side depth, depending on your strengths and interests.

This is a role for someone who writes well under pressure, recognizes that the same message lands differently with different audiences, takes brand standards seriously, and can be trusted with the company's voice. Our work involves writing with and for Indigenous communities, Survivors, and delegates who speak many languages. We are looking for someone who brings care, humility, and attentiveness to every audience.

What You'll Do

  • Participant Communication and Event Engagement - Write and send a high volume of participant-facing email and SMS communications, including registration confirmations, delegate updates, presenter coordination, and on-site logistics. Adapt tone and approach for different audiences.

  • Content Creation and Editorial Oversight - Produce program copy, signage text, presenter biographies, speaker introductions, social media content, and post-event recap materials. Edit others' work to ensure a high and consistent standard.

  • Brand Standards and Asset Management - Maintain brand consistency across all participant-facing communications, event collateral, and digital assets. Coordinate with internal designers and external partners to ensure work going out under Ingaged's name reflects who we are.

  • Inquiry Management and Stakeholder Communications - Respond to incoming participant, presenter, and partner inquiries in writing, by phone, and in person. Route complex matters to the appropriate Event Lead or department. Coordinate with media partners where required.

  • Pre, Day-Of, and Post-Event Support - Support event preparation, on-site communications, and post-event takedown, follow-up, including survey deployment, recap, and reporting.

  • Marketing and Organizational Communications - Apply the same communications skillset to Ingaged's company-level needs, such as newsletter writing, social presence, recruitment communications, and partnership outreach, helping the company grow alongside the events we deliver.

What We're Looking For

Required

  • A Genuinely People-Facing Disposition - The role requires regular face-to-face interaction with delegates, multiple phone calls per day, and the warmth and professionalism demanded by on-site stakeholder work.

  • Technological Fluency in Service of People - Comfortable moving between multiple digital platforms in a single day, including event registration systems, email marketing platforms, relational databases, design and brand tools, content management systems, and social media platforms, used to support better participant experiences.

  • Google Workspace Proficiency - Comfort in Docs, Sheets, Drive, Calendar, and Gmail, or rapid willingness to develop it.

  • Exceptional Reading and Writing Fluency - Accurate writing across multiple voices and contexts, with the ability to write under deadline pressure. Email is the primary daily medium for this role, with significant volume. Foundational regardless of the tools used.

  • Post-secondary education in Communications, Public Relations, Journalism, Marketing, English, or a related field, or a demonstrated track record of equivalent professional experience

  • Demonstrable experience in event, communications, marketing, and digital media work, with at minimum two of these areas showing evidence of strong performance

  • Sound judgment in tone, audience recognition, and brand consistency

  • Reliability with deadlines and follow-through; comfort working within established systems

Considered an Asset

  • Demonstrated content editing, copy editing, or editorial experience

  • Familiarity with AI-assisted writing, research, and content tools, applied with editorial judgment and attention to context

  • Sales experience, including sponsorships, client and customer service, and partnership cultivation

  • Experience working across multiple internal departments in a coordinating capacity

  • Familiarity with Indigenous community contexts, organizations, or programming

  • Experience working with media, presenters, or third-party content contributors

  • Knowledge of accessibility, inclusive language, and culturally responsive communications practices

Operational Requirements

  • Valid G or G2 Ontario Driver's Licence and personal automobile insurance, with the ability and willingness to drive a company or rental vehicle. Thunder Bay's geography and the regional nature of much of our work make reliable mobility a practical necessity for this role.

  • Ability to lift and move materials up to 40 lbs when required, particularly during event setup, on-site work, and breakdown.

  • The willingness and ability to work in an open-office, collaborative environment.

  • Flexibility for long days during peak event seasons, including evening, weekend and occasional holiday work.

  • A six (6) month probationary period applies to this role. Comprehensive health, dental, and vision benefits begin upon successful probation completion.

  • First Aid and CPR certification is considered an asset and may be required following probation.

  • Other duties as assigned, consistent with the purpose of this role and the operational needs of the department.

What We Offer

  • Location - 610 Simpson Street, Thunder Bay (primary), with secondary work at our Fort William First Nation office at 656 City Road.

  • Starting Rate - $24.00 to $28.00 per hour, based on demonstrable experience in event, communications, marketing, and digital media. Ingaged operates a defined performance and compensation framework with milestones tied to wage increases. This posted rate reflects the starting position, with progression based on established framework criteria.

  • Hours - 37.5 hours per week, Monday to Friday.

  • Benefits - Comprehensive health, dental, and vision coverage following successful probation completion.

  • Vacation - Two weeks per year. Vacation pay is calculated and disbursed in accordance with the Ontario Employment Standards Act, 2000.

  • Time in Lieu - For approved evening and weekend event work.

  • Professional Development - Training, certification, and workshop opportunities are supported where aligned with role growth and department needs.

  • Travel - Travel concentrates during active event periods, typically about six months of the year. Annualized travel averages approximately 30 to 40 percent of working time, with peaks of up to 70 percent during active event periods, including multi-day and overnight travel.

  • High-Availability Months - October, November, February, and March are concentrated event-delivery periods. Full availability is required during these months unless approved in advance.
