Michipicoten First Nation is seeking a full-time Operations Administrative Assistant.  Under the direction of the Manager, HR & Administrative Operations, the Operations Administrative Assistant is responsible for providing administrative services to support the flow, organization and communications of the Operations & Maintenance, Public Works, and Lands Departments.

Duties:

GENERAL

• Submit weekly work plans / time sheets
• Track time spent per department for budget tracking
• Maintain shared calendar
• Coordinate and attend regular inter-department meetings

OPERATIONS & MAINTENANCE
• Retrieve emails and distribute to staff
• Respond to emails on behalf of O&M Supervisor
• Assist with coordination of and set-up of zoom meetings
• Input carpentry crew time sheets
• Prepare letters and memos
• Communicate garbage collection schedule to MFN residents through weekly flyer and website
• Schedule meetings for carpentry staff and O&M Supervisor
• Communicate status of work orders with PW Supervisor and individuals requesting service
• Assist O&M Supervisor with completion of department work plans
• Records minutes at meetings
• Assists with creation and documentation of department policies
• Maintain records of wood supply and distribution to elders and disabled residents
• Update records of cemetery burial plots and research funding sources for upgrades
• Maintain heavy equipment maintenance schedules
• Track snow plowing and submits monthly record to Finance Dept.
• Track staff hours for plowing citizen residences and reserve, for budget and forecasting

PUBLIC WORKS
• Update inventory and capital asset databases
• Assist with creation and documentation of department policies
• Record and monitor work orders
• Update equipment log identifying maintenance and due dates for MFN vehicles
• Maintain records of current driver’s abstracts
• Ensure drivers complete and sign vehicle policy form
• Assist with completion of funding applications, follow-ups, and reporting
• Maintain contact list of emergency response resources
• Set up & maintain housing database for tenant/homeowner applicant info, including maintenance logs
• Coordinate purchase of custodian supplies
• Enter staff time sheets
• Prepare letters and memos as requested

LANDS & ENVIRONMENTAL STEWARDSHIP
• Coordinate logistical aspects of departmental meetings and events (room, equipment, catering etc.)
• Assist with creation and documentation of department policies
• Attend and provide minutes of meetings with external contacts
• Assist with completion of funding applications, follow-ups, and reporting
• Assist with organizing community engagement meetings
• Update database of departmental inquiries and responses to proponents
• Distribute communications materials to citizens – Job Board, Flyer, Website & Social Media
• Track and maintain department assets

Qualifications:

• High school diploma, GED, or equivalent (minimum)
• Degree or diploma in administration, business, or a related field (preferred)
• 3 years experience in an administrative role
• Valid drivers license and access to a reliable vehicle
• Proficient in Microsoft Office programs (Word, Excel), outlook & internet
• Proven ability to multi-task and take direction from multiple sources
• Satisfactory criminal record check if offered position
